Vendor directory & onboarding
The Vendors tab in the Organization Workspace provides a single source of truth for all external suppliers and service providers. Track company profiles, tax identification numbers (W-9 / Tax ID / VAT), payment terms, banking details, and authorized contacts with granular status workflows.

Creating Purchase Orders across missionX
missionX allows Purchase Orders to be created wherever project or organization work takes place, ensuring tight integration between financial planning and execution:

Issuing POs & lifecycle governance
Purchase Orders progress through rigorous lifecycle states to prevent unauthorized organizational spend:

| Pending Approval | Submitted for review. Financial limits and approver chains determine which managers or directors must approve before the PO can be issued. |
| Issued | Formally approved and issued to the vendor. The PO number is locked, funds are reserved in the project/org budget, and incoming vendor invoices can be reconciled against this balance. |

Vendor invoices & Document AI extraction
Eliminate manual data entry and invoice matching errors. Invoices enter missionX via direct PDF upload or through a dedicated organization email intake inbox.

Magic-Link 1-Click Approvals: Approvers receive structured email alerts containing the complete invoice breakdown, vendor history, attached PDF preview, and secure one-click approval links. Approvers can review and approve invoices directly from their mobile or desktop inbox without requiring an active missionX login session (with secure 14-day token TTL).
