Creating Purchase Orders in missionX

missionX enables project managers and finance teams to create Purchase Orders directly within the operational contexts where work is planned and executed. Whether you are budgeting individual tasks in Gantt charts or managing company-wide supplier contracts, PO creation is unified and real-time.

From Gantt charts (Task Budget & Work Breakdown Structure)

Project Managers building work breakdown structures in Gantt views can attach purchase orders directly to specific deliverables, tasks, or phase milestones:

StepInterface LocationAction & System Behavior
1. Open Task BudgetGantt View → Task Details Drawer → Task BudgetSelect any task or milestone in your Gantt view and navigate to its dedicated Task Budget panel.
2. Launch Add Project POTask Budget → Click Add POOpens the purchase order builder pre-scoped to the current project and task deliverable.
3. Vendor & Line Item DetailsPO Builder FormSelect an approved vendor, specify currency, contracted amount, GL code, and detailed scope description.
4. Budget AllocationAutomatic SyncThe committed amount immediately registers against the task cost baseline and bubbles up into overall project budget utilization.

Task Cost Granularity: Linking POs directly to Gantt tasks gives PMs instant visibility into subcontracted vendor costs versus internal labor hours for every task on the critical path.

From Budget Pro (Project Workspace)

In the project's Budget Pro workspace, PMs manage the entire financial lifecycle of the project.

The dedicated PO Numbers tab in Budget Pro allows you to:

Budget Pro CapabilityDescription
Project-Wide PO InventoryView all purchase orders associated with the project, including committed amounts, invoiced amounts, remaining balances, and status badges.
New Project PO CreationCreate POs that span multiple tasks or general project services (e.g., third-party testing, hardware procurement, consulting retainers).
Real-Time Variance TrackingSee remaining uncommitted budget before approving new PO requests to prevent cost overruns.

From Organization Workspace (Enterprise Procurement)

Organization Admins and Vendor Managers can create organizational POs in Vendors & Invoicing → PO Numbers:

Standalone Org POs: Used for company-level procurement that is not tied to a single project (e.g. corporate SaaS tools, office supplies, legal counsel). These POs draw from departmental overhead budgets instead of client project funds.
