Setting up equipment
A few minutes of setup gives every new unit sensible defaults. Setup is available to organization admins and to anyone with the Can manage equipment and equipment rates permission.
Turning equipment on and off
Equipment is on by default. To turn it off, go to your organization settings, open Optional modules and uncheck Equipment.
Turning equipment off only hides the Equipment tab - your equipment and bookings are kept, and everything is back when you turn it on again.
Heads up: Turning equipment off does not cancel a paid Core or Scale subscription. Cancel it separately to stop being charged.
Who can do what
| Action | Who |
| Add, edit and archive units, types and rates, Setup, imports | Organization admins, and admins or managers given Can manage equipment and equipment rates in People HR |
| View all details, book equipment, pin units on the map | Admins, managers, limited managers and equipment managers |
| Check out and check in | Anyone who can book equipment and the unit's custodian. The person holding a unit can always check it back in. |
| Report an issue | Anyone in the organization |
| Approve bookings | The unit's approver, approval rule approvers and equipment admins |
The Setup tab
Open Equipment → Setup. A warning icon shows on the tab until you have added at least one equipment type.
| Section | Feature | Description |
| Types / Categories | Equipment types | Click Add type to create the types you use, for example Vehicles, Generators or Laptops. Archived types can be shown with Show archived. |
| Rates | Default rates | Set an Internal cost and a Bill rate for each type. New units of that type start with these rates. |
| Workflow | Asset IDs | Choose the Prefix, Sequence padding and Next number for generated asset IDs, for example EQ-00012. |
| Workflow | Workflows & notifications | Turn on the workflows included in your plan, such as check-out and check-in, booking approvals, maintenance requests and unbilled usage alerts. |
| Compliance | Compliance settings | Configure export control, restricted access and the compliance approvers who decide access requests. |
| Imports | CSV import | Export your equipment to CSV, update it in a spreadsheet and import it back, or bring in your existing register. |
Heads up: Default rates only apply to units you add afterwards. Changing a type's rates does not update existing units.
