Unbilled work (WIP)

Work in progress is what you have earned and not billed yet. missionX works it out as of any day, however old the work, so you can see what to invoice next and how long it has waited.

Where to find it

Go to Clients & Invoicing > Create invoices and switch from Period to Unbilled. Pick the As of day (today or earlier). The view looks back 24 months and says so: "Showing unbilled work since ...". Narrow it to one client if you like.

What the numbers mean

ColumnWhat it shows
EarnedWhat the item has earned up to the end of the as-of day: approved time, milestones, change requests, line items and rebilled expenses.
BilledWhat sent, paid and partly paid invoices already bill for it. The same invoices count as revenue on the P&L.
UnbilledEarned less billed, for work that is ready to bill. Flags show money that is Not ready (submitted time not yet approved, milestones not yet approved), On draft (on a draft invoice, still unbilled) or Billed ahead (billed more than earned so far).
Billable since and AgeThe oldest day the unbilled money became billable, and how long ago that was, in buckets: 0-30, 31-60, 61-90 and 91+ days.

Above the grid, a bar totals each currency: Unbilled, the amount in each age bucket, and the Not ready, On draft and Billed ahead amounts. Currencies are never mixed. When there is more than one currency, or it isn't your organization's, an "About ... in all" line converts the total at the as-of day's rates.

Items with nothing unbilled are hidden. Turn on Show billed to see them too. Export CSV downloads the view, with client, project, item, age bucket and the ready and on-draft flags.

Billing from it

Select rows in the Unbilled view to put them on an invoice, as in the invoice wizard. Only the part on no invoice yet goes on, such as the remaining hours for time, so nothing is billed twice.

WIP and the P&L

  • The P&L counts revenue only when an invoice is sent. Unbilled work is not revenue there yet, and it doesn't go into the accounting export.
  • The P&L's memo row Billable value of approved time shows what approved time is worth at bill rates, month by month.
  • The Quarterly report's Earned Revenue counts approved time and milestones reached, invoiced or not.

Bright idea: Check the 91+ bucket at month end. Old unbilled work is usually a missed invoice, a milestone nobody approved, or time still waiting for approval.
