Financials
ERP-grade financials for project-based businesses. Every approved timesheet, expense and vendor invoice, and every sent client invoice, lands on one ledger the moment it happens. From there you get a live P&L, a searchable list of every transaction, and clean postings to your accounting system, coded to your own accounts, cost centers and tax codes.
missionX doesn't replace your books. It does the project side of finance well and hands your accounting system numbers it can trust.
Benefits
- A P&L that is always current. No month-end spreadsheets: revenue and costs build up as work is approved and invoiced.
- Every number can be traced. Click any amount to see the transactions behind it, and open the invoice, receipt or timesheet they came from.
- One chart of accounts, cost centers and tax codes, used everywhere: invoices, purchase orders, expenses and projects.
- Client purchase orders that track what's been invoiced against them, and warn you or block you before you bill past them.
- Send invoices to QuickBooks Online or Microsoft Dynamics 365 Business Central, or export a monthly journal for any other ERP.
- Multi-currency throughout. Each amount is converted at the exchange rate for its own day.
Where to find Financials
Financials is the Financials tab in the Organization workspace. It has up to five tabs, depending on what you are allowed to see.
| Tab | What it's for |
| Quarterly report | Plan vs actual across every project: revenue, cost, margin and utilization by quarter. |
| P&L | The organization's profit and loss by month, by account or kind of money. |
| Transactions | Every money event on the ledger. Filter it, total it, group it and open its source document. |
| Integrations | Connect QuickBooks or Business Central, export journals, and manage API access. |
| Setup | Chart of accounts, cost centers, cost types, tax codes, client POs and posting accounts. |
Who sees what
| Person | Can use |
| Organization admins | Everything, and they are the only ones who manage integrations. |
| People with Manage Financials | Reports, P&L, Transactions and Setup. They can see the Integrations tab but need an admin to connect anything. |
| Organization managers | Quarterly report, P&L and Transactions. |
An admin gives someone Manage Financials from the person's permissions in the employee list. Use it for your finance team, so they can run Financials without being full admins.
Getting started
The reports work right away, with nothing to set up. To code your numbers the way your accountant does, set things up in this order:
- Chart of accounts and tax codes. Import them from QuickBooks or Business Central, or add them in Setup.
- Cost centers. Link each one to a department, so new projects pick up the right one on their own.
- Posting accounts. Choose the accounts that time, expenses and invoices post to by default.
- Connect your accounting system from Integrations, or export your first monthly journal.
Bright idea: You don't need to code everything on day one. Uncoded money still shows on the P&L under its kind (labour, expenses, vendor costs, revenue), and the default posting accounts catch it on export.
