Change Requests & Deliverable Sign-Offs
Scope creep and unexpected client adjustments happen in every project. missionX gives project managers and delivery teams an effortless way to capture scope changes, calculate their financial impact, get formal client approvals, and enforce quality sign-offs—directly where the work is managed.
Built into the Action Item Workspace: You do not need external change logs or separate spreadsheets. Change Requests and Sign-Offs live directly inside each action item (task), automatically updating budgets, billable amounts, and audit histories upon approval.
Managing scope changes without chaos
When a client requests alterations to an existing deliverable or asks for additional features, a Change Request (CR) captures the exact delta in effort, timeline, and cost.
| Step | Action in Workspace | Outcome |
| 1. Open Action Item | Click any task on your workboard or timeline | Opens the task detail workspace drawer |
| 2. Navigate to CR Tab | Select the Change Requests tab | Shows all active, approved, and historical change requests for this task |
| 3. Create New CR | Click Create Change Request | Opens the structured change request builder |
| 4. Save & Route | Submit for review | Awaits stakeholder approval before budget adjustments take effect |
Creating a Change Request
The Change Request form captures everything required for client billing and scope governance:
| Field | Input Type | Purpose & Guidance |
| Reason & Description | Rich Text Editor | Clearly articulate why the change is needed, what is included in the new scope, and any deliverables being added or modified. |
| Extra Effort (Hours) | Numeric Hours | Specify the additional hours required to execute the change beyond the original task estimate. |
| Bill Rate / Amount | Currency Amount | For billable projects, set the hourly billing rate or fixed revenue amount for this change. missionX calculates the total financial impact automatically. |
| Client PO# / Order Code | PO Selector | Link the change to an approved Client Purchase Order to ensure invoices can be issued without dispute. |
| Supporting Files | Attachments | Upload client authorization emails, updated wireframes, SOW amendments, or specifications. |
Automatic budget & invoicing updates
Once a Change Request is approved, missionX seamlessly updates the project's financial and operational metrics:
| Financial Area | How missionX Responds |
| Task Hours & Effort | The extra hours are added to the task's authorized effort, allowing team members to log timesheets against the expanded scope without triggering overtime or over-budget warnings. |
| Project Revenue & Margin | If billable, the additional revenue immediately reflects in the project budget, protecting your profit margin. |
| Client Invoicing | Approved change requests appear as billable items in the Invoicing workspace, linked directly to the client's PO number. |
Approvals, rejections & audit trail
Maintaining full accountability ensures that changes cannot be applied without proper authorization:
One-Click Approval: Authorized Project Managers or client leads can approve the change with a single click. The system records who approved the change and the exact timestamp.
Permanent Record (No Deletions): Change requests cannot be permanently deleted. If a proposed change is rejected or cancelled, it is safely archived and logged with the cancellation reason to preserve a complete compliance history.
Deliverable Sign-Offs & quality gates
In addition to scope changes, the Action Item workspace includes a dedicated Sign-Offs tab to enforce quality gates and stakeholder acceptance before deliverables are marked complete.
| Feature | Capability | Benefit |
| Designated Sign-Off | Assign specific team leads, QA managers, or client contacts to sign off | Ensures the right domain expert reviews the work before handover |
| Multiple Sign-Off Steps | Add multiple sign-off criteria (e.g., Peer Review, QA Verification, Client Acceptance) | Supports multi-stage validation pipelines for mission-critical tasks |
| Audit Stamping | Captures signer name, date, time, and optional review notes | Provides transparent verification for audits and client billing |
| Board & Backlog Filtering | Filter tasks across the board by pending sign-offs or approved sign-offs | Project managers can instantly spot deliverables awaiting final review |
Tip: Combine Change Requests with Deliverable Sign-Offs on high-value milestones so that both the expanded scope and the final deliverables receive formal client verification.
