Line-items

Line-items are as flexible as a spreadsheet but a lot smarter and completely integrated into your project plan and reporting.

With line-items you can free-form track almost any type of expense or revenue.

Line-item examples:

  • Office rent: $4,500 per month
  • External consultants: one-time fee $50,000
  • Travel: 48Km * $5 each
  • Weekly subscription fee: $120
  • 5 Pizzas x $10 each
  • 1,000 new users: $20 per month
  • Retainer: $16,000 each month

DEffective date

The month this line-item is expected to be realized (for one-time items) or the start date for recurring items.

This is important for invoicing and forecasting financials.

Please note: You can set any month you wish for the effective date, even outside the project timeline. This allows for greater flexibility, but may possibly create confusing reports and invoicing when t,hings fall outside the project dates.

ERecurrance

How often will this line-item be figured into budget calculations and reports.

Recurrance options include: Monthly, Weekly, Daily, One-time

FFrequency

By default, recurring items repeat Monthly, Weekly, Daily till the end of the project. You can override this and set the frequency manually.

For example: You may have a five month project but only want to calculate renting equipment for the last 3 months. You can set "Repeats" to three.

GQuantity

How many times should this line-item be calculated.

Example: Laptops $1,600 x 10

HUnit description

An optional description for what this line-item represents. Helpful for invoicing and reporting.

Options include: Hours, Days, Km, Miles, Other

ICost per unit

The amount each item will cost or how much revenue it will bring in. This number is multiplied by the quantity to give you a total estimate.

JTotals

Your calculations for each line-item

Recurrance x Quanity x Costs = Totals

Example: 3 generators, for 10 months at $100 per month will give you a total cost for this line-item of $3,000 (3 x 10 x $100)
