Project-Level Resource Allocation & AI
Staffing project roles with the right talent at the right price point is critical to maintaining delivery velocity and project profitability. In missionX, project-level resourcing combines structured role definitions in Budget Pro with real-time workload visualization in Gantt charts.
People & Roles in Budget Pro
In your project workspace, navigate to Budget Pro → People & Roles to configure project staffing:
| Role Setting | How It Works | Budget & Invoicing Impact |
| Project Role Definition | Create custom roles (e.g., Senior Fullstack Developer, UX Researcher, Scrum Master) required for the project's scope of work. | Forms the baseline structure for task-level bottom-up budgeting and timesheets. |
| Internal Cost Rate | Specify the hourly labor cost for the role (or inherit organizational defaults). | Used to calculate actual project cost as timesheets are logged against deliverables. |
| Billable Client Rate | For billable projects, set the agreed hourly rate billed to the client. | Drives real-time revenue accrual, profit margin calculations, and client invoice generation. |
AI role-fit recommendations
Instead of guessing who is free across the organization, click the AI Staffing button next to any open role:
| Matching Criteria | System Analysis |
| Real-Time Availability | The AI evaluates all active project assignments across the organization, calculating each person's true unallocated bandwidth during the required sprint timeline. |
| Leave & Vacation Checks | Automatically flags scheduled holidays or pending leave requests so you avoid staffing someone who will be unavailable during critical milestones. |
| Skills & Domain Experience | Scores candidate profiles based on primary role titles, past project successes, and tagged capabilities. |
| Ranked Match Scores | Presents a list of top candidates ranked by compatibility percentage with instant one-click assignment. |
Gantt Resource View (Workload along timeline)
When building out your schedule in Gantt view, toggle the Resource View panel to see daily workload distribution:
Daily Workload Bars: Visual indicators display each assigned team member's daily hours directly beneath the project timeline.
Conflict Highlighting: If overlapping tasks require more than a person's standard daily capacity (e.g. > 8 hrs/day), the bar highlights in red to signal a scheduling conflict.
Instant Re-Balancing: Drag task date handles or reassign tasks directly in the timeline to smooth out resource spikes.
Tip: Team members assigned in People & Roles automatically appear in timesheet drop-downs for that project, ensuring only authorized roles log billable time.
