Credit notes

A credit note corrects an invoice you have already sent: a wrong amount, work the client should not pay for, or a whole invoice raised in error. It is a separate document with its own number that takes money off the invoice it credits. Invoices that were never sent are simply edited, deleted or cancelled instead.

Create a credit note

  1. In Manage invoices, click the Status of a Sent, Partially paid or Paid invoice and choose Credit note....
  2. Confirm with Create credit note. missionX makes a draft credit note with every line of the invoice, as negative amounts, and opens it in the editor.
  3. To credit only part of the invoice, remove the lines you are not crediting, or change their amounts. The credit note shows "Credits invoice CDR-0004 of March 12, 2026" under its title.
  4. Click Finalize Invoice to create the PDF.
  5. In Manage invoices, set its status to Issued.

The credit note copies the invoice's currency, taxes and tax codes, discount, POs, department, office, period, bill-to details and coding. Its date is the day you create it.

A credit note's status options are only Draft/Editable and Issued. When issued credit notes cover everything outstanding, the invoice shows as Credited.

Rules

  • Only Sent, Partially paid or Paid invoices can be credited, and a credit note cannot itself be credited.
  • A credit note's total must be zero or less, and issued credit notes can never add up to more than the invoice amount ("This credits more than is left on the invoice").
  • A credit note takes no payments. It has no due date, terms, payment information or payment link.
  • An invoice with an issued credit note stays sent: it cannot be set back to Draft or cancelled.
  • A credit note is never refused by the client PO rule; it only takes billing off its PO.
  • Credited invoices are not offered as overdue balances on new invoices.

Credit note lines are negative, so on the Create invoices screen they reduce the Invoiced figure of the items they credit. Those items can then be invoiced again.

Numbering and the PDF

  • Credit notes are numbered in their own series per client, separate from invoices. The code is the client's Credit note code, or CN- plus the client code by default, e.g. CN-CDR-0001. Set the code and next number in client details.
  • The PDF is titled "Credit note", shows "Credits invoice: CDR-0004 of March 12, 2026" and a "Date" instead of invoice date, due date and terms, and ends with Total credit.

Send the credit note PDF to your client yourself; missionX does not email it.
