Adding and managing equipment

The Equipment tab is your equipment register. Find any unit by name, asset ID or serial number, filter by type, status, location, custodian, ownership or export control, and export the list to Excel or CSV.


Adding equipment

Click Add Equipment to open the New equipment form. Only the essentials are needed - everything else is on the unit's card once it's added.

FieldDescription
NameWhat you call the unit, for example "Excavator 3".
Asset IDLeave it blank to generate one, for example EQ-00012, using the numbering set in Setup.
TypeThe equipment type. Its default rates fill in the cost and bill rate.
Home locationWhere the unit is normally kept.
CustodianThe person responsible for the unit.
Cost rate and Bill rateWhat the unit costs you internally and what you charge for it. Rates can be hourly, daily, weekly, monthly, yearly or per use.

The equipment card

Click a unit to open its card. Changes save as you make them. The card is organized into sections:

IdentityName, asset ID, type, subcategory, manufacturer, model, serial number, barcode value, up to 10 photos, description and tags.
Status & locationStatus, condition, home and current location, custodian and department.
FinancialsCost rate, bill rate, currency, GL code and whether the unit is Billable to clients.
Purchase & ownershipOwnership, purchase date and price, vendor, PO number and vendor invoice, lease details, warranty, insurance and depreciation (straight-line or declining balance) with a calculated book value.
Scheduling & capacityWhether the unit can be booked onto projects, setup buffer, whether it needs an operator and whether bookings need approval.
Maintenance & calibrationService history and intervals, usage meter, inspections, calibration, maintenance requests and the maintenance log.
ComplianceExport control (ITAR or EAR), security classification, restricted access and hazardous materials with safety data sheets.
Documents & historyDocuments, checkout log, access requests, booking history and a full audit trail.

Statuses and condition

StatusDescription
Available, In Use, ReservedThe unit is in service and can be booked.
Under MaintenanceBeing serviced or repaired. Units checked in in Poor condition move here automatically.
Out of Service, LostNot available and hidden from scheduling.
RetiredPermanently out of use. Retiring a unit asks for its disposal date.

Condition is recorded as New, Good, Fair or Poor. Use Archive equipment on the card to remove a unit from the register without losing its history.


Utilization and revenue vs costs

The register shows each unit's Utilization and Revenue vs costs. Revenue is estimated from the unit's bookings at its bill rate, and costs come from its maintenance log, so you can see which equipment pays its way.

With the Unbilled usage alerts workflow on, missionX checks each week for billable bookings in closed months that no client invoice covers, and lets you know so nothing is missed when you generate invoices.
