Invoicing time

Hours logged on billable client projects become invoiceable items automatically. There is nothing to export: submitted and approved timesheets appear in the ⚡ Create invoices tab of Clients + Invoicing, under each project's Professional services (Billable time) section.

What makes time invoiceable

  • The project is linked to a client and marked Project is billable, typically with the Time and material revenue model.
  • The person logged hours against a project role (or line item) with a bill rate. Hours with a zero bill rate are invoiced at zero.
  • The timesheet is submitted or approved. Draft and rejected timesheets are not shown.

Approval is not required to invoice. Approved hours show a green check ("Approved and ready to invoice"); submitted but unapproved hours show an orange warning, and can still be invoiced if you choose.

How time is calculated

  • One row per person, per task, per week, e.g. "Jane Smith Developer 12hrs x $150p/h".
  • Only the days of each week that fall inside the selected invoice period are counted, so a week spanning two months is split across them.
  • Amount = hours × hourly bill rate. Daily rates are divided by 8, weekly by 40, monthly by 40 × 52/12. Hours are not rounded.
  • The Invoiced column shows how many of the hours are already on invoices. Fully invoiced rows cannot be selected again.

Time on the invoice

Each time line on the invoice shows the task, role and week, e.g. "Design review — Developer Week of: Mar 2, 2026", with the employee, hours, rate and total. In the invoice editor you can:

  • Change hours, rate and unit, or delete lines.
  • Add time manually with + Time.
  • Tick Roll up hours by role to show one line per role and rate with total hours, or Hide employee name to keep separate lines without names.

Invoicing does not lock timesheets. If hours change after they were invoiced, review the invoice before sending it.
